Challenges and Solutions at Flower Shows

RHS Tatton Park Flower Show

Here we highlight the challenges faced by event organisers at two large-scale flower shows: the RHS Tatton Park Flower Show and RHS Garden Harlow Carr Flower Show. Despite obstacles such as road construction and limited parking capacity, the Tracsis Event's teams were able to maintain constant communication and execute effective plans to provide a smooth experience for attendees.

Tatton Park flower show is situated in Cheshire, next to 2 major arterial roads. In 2022 this caused particular issues for the show, as junction 19 on the M6 was under major redevelopment. After the first day of the show, egress was very slow so a new plan had to be formulated for second-day egress. This meant getting all teams involved in vehicle movement together and coming up with a plan. We achieved smoother egress by the car park teams working closely with traffic management, to push traffic to different gates to achieve a smoother distribution on the network. Once the traffic was on the network we rerouted and utilized contingency routes to send traffic on different routes, to minimize the impact on the network.

RHS Garden Harlow Carr Flower Show

RHS Garden Harlow Carr Flower show is an event that requires multiple moving parts to all operate within a small venue footprint. On a single road, we have 4 limited capacity carparks, a shuttle bus service operating every 15 minutes, and up to 12 coach parties per day. This requires a practiced team, able to work independently of each other, whilst maintaining constant communication. Car park occupancy is constantly monitored to provide parking in the most responsive way possible.

The Project manager is involved mostly in the planning of the event beforehand, with the onsite event manager overseeing the day-to-day operations, which mostly involves keeping the Client appraised of car parking capacity and ensuring any problems that might arise are dealt with as quickly and appropriately as possible.
